Create Recipient Lists using Campaigns and Reports
Campaign Creation
- Log into the Enterprise CRM
- Select the ‘Campaigns’ tab from the navigation bar, or select the App Launcher (nine dots in the upper-left corner) and select ‘Campaigns’
- Click New
- Select ‘Communication’ for record type
- Click Next
- Enter a name that describes the purpose of your send or the group of recipients you will be adding to the campaign in the ‘Campaign Name’ field
- For Type, select ‘SMS’
- For Business Unit, select the name that matches the Program/Department your SMS will be sent from. (e.g. UA-VPIT-IUCRM)
- Select Restricted View if the campaign should only be visible to you and those you choose to share it with. Restricted View should be reserved for Campaigns with a need for elevated security and is not recommended for standard SMS Campaigns.
- Use the Parent Campaign, Active, Status, Description, and Start/End Date fields as needed to organize your campaign.
- Click Save.
Add Members to Campaign
Campaign Members can be added using List Uploader, Form Handler, Manually, or via Reports.
List Uploader
Use List Uploader when you have a list of Contacts generated in an external system that you want to add to a Campaign.
To load members into a campaign, you will need a template for the data you are uploading. You can find a basic template for uploading to a campaign here.
The sample template includes columns for IUID, ADS Username, First Name, Last Name, Email, and Mobile Phone. If you choose to match contacts based on either IUID or ADS Username, you only need to include one of those columns. If you want to match with other Contact data, you will need to include at least First Name, Last Name, and Email.
For the CampaignMember.CampaignId field, you will need to look at your Campaign in the details tab and copy the 18-digit Campaign ID (Example: 701O1000010yUXeIAM). When you put that ID in the CampaignId field, it will tell Convergence Cloud which campaign to put your contact in.
The Custom Fields (Example: CampaignMember.Custom_Field_01__c) are free for you to use to include any other data you think you would like to quickly see about a contact in your campaign, but they are not required to be used.
Use one contact record per line in the template. Once you have it filled out, you can upload it by following the instructions for using List Uploader.
Form Handler
Use Form Handler when you want to use a form to collect Campaign Members. For example, use Form Handler if you want to let Contacts sign up for your mailing list using a web form. If you plan to send text messages to these Contacts, you'll also need to obtain their consent. See SMS Consent Form Basics for details on how to collect consent with a web form.
Add Campaign Members Manually
Use manual entry when you want to add a small number of Contacts to a Campaign one at a time.
- Once you've created your campaign as detailed above, click on the Members tab.
- Scroll down to the Campaign Members related list.
- Click Add Contacts.
- Search for the Contact you want to add.
- Select the checkbox next to each Contact you want to include.
- Click Next.
- Click Submit.
Add Campaign Members using Reports
Use reports when you want to add a larger group of Contacts based on report criteria.
- Open the Reports tab in Enterprise CRM.
- Run the report that contains the Contacts you want to add to the Campaign.
- Review the results to confirm the list is correct.
- Click the down arrow next to the Edit button.
- Click Add to Campaign.
- Search for the Campaign you want to add the report results to.
- Click on the Campaign's name.
- Click Submit.
The Enterprise CRM will begin adding your contacts to the campaign. You will receive an email when it has completed this process.
Cross-Filtering for Opted-in Contacts
It is possible for a Contact to be in your Campaign but not opted-in to receive text messages from your Modern Campus Message program. At send time, Modern Campus Message will automatically filter out non-consented recipients.
As a best practice and to better understand which constituents in your campaign will be sent to, it is recommended to cross-filter your campaigns for opted-in Contacts and use the resulting report in your sends.
To create a cross-filtered report, use this report template or:
- Create a reporting using Report Type ‘Campaigns with Campaign Members’
- Under Filters, add a filter for ‘18-digit Campaign ID’
- Set the operator to Equals and enter the 18-digit Campaign ID found near the top-right of the screen when viewing the campaign
- Click Apply
- Under Filters, click the drop-down menu next to Filters and click ‘Add Cross Filter'
- Under Cross Filters, select Show Me ‘Campaign Members’ ‘with’ ‘IU SMS Consents’
- Click Apply
- Where it says “Add IU SMS Consents Filter” add a filter for Unit Name and enter the name of your Modern Campus Message program
- Add another filter for Opt-In Status equals True
- On the Outline tab, adjust displayed Columns as desired.
- When finished, click Save & Run.
- Enter a Report Name, Report Description, and choose a Folder to save your report.
- Click Save.
Report Creation
When creating reports for use in Modern Campus Message sends, keep these report configuration requirements in mind:
- When possible, use Contact as the primary object on the report (e.g. Contacts with IU Enrollments instead of IU Enrollments with Contact)
- If using Contact as the primary object is not possible, make the Contact ID or Contact Salesforce ID the first (left-most) column in your report.
